QuoteGuru is a mobile application developed by QuoteGuru Ltd, designed to help UK tradespeople and contractors create professional quotes, manage clients, and schedule jobs. We are committed to protecting your privacy and handling your personal data responsibly.

This Privacy Policy explains how we collect, use, store, and share information when you use the QuoteGuru mobile application (the “App”) and our website at www.quote-guru.co.uk (the “Website”). By using our services, you agree to the collection and use of information in accordance with this policy.

QuoteGuru Ltd is the data controller responsible for your personal data. We are registered in the United Kingdom and comply with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Usage Data

  • How you interact with the App, including features used, screens visited, and actions taken
  • Quote creation and sending activity, including frequency and volume
  • Job scheduling and calendar usage patterns
  • Search queries and filter preferences within the App
  • Time spent in the App and session duration
  • Crash reports and error logs to help us improve stability

3. How We Use Your Information

  • Sending quotes and communications: To send quotes via email to your clients on your behalf, including accept/reject functionality and push notifications about client decisions
  • Processing payments: To manage your subscription, process payments, and maintain your billing history
  • Improving the App: To analyse usage patterns, identify bugs, and develop new features that serve our users better
  • AI Pricing Assistant: To analyse your quoting history and provide intelligent pricing suggestions (Pro plan users only, data is processed securely and not shared)
  • Analytics and reporting: To generate business analytics and reports within the App, helping you understand your quoting performance
  • Customer support: To respond to your enquiries, troubleshoot issues, and provide technical assistance
  • Legal compliance: To comply with legal obligations, resolve disputes, and enforce our terms of service
  • Marketing communications: To send you product updates, feature announcements, and promotional content (only with your consent, and you can opt out at any time)

4. Data Storage and Security

We take the security of your data seriously and implement appropriate technical and organisational measures to protect it.

  • Cloud infrastructure: Your data is stored securely using Google Firebase cloud infrastructure, which provides enterprise-grade security, encryption, and reliability. Firebase servers are located in the European Union to ensure compliance with data residency requirements.
  • Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS 1.2 or higher (HTTPS). This ensures that your information cannot be intercepted during transmission.
  • Encryption at rest: Your data stored on Firebase servers is encrypted at rest using AES-256 encryption, the industry standard for data protection.
  • Authentication security: We use Firebase Authentication to manage user accounts securely. Passwords are hashed and salted, and we support secure sign-in methods.
  • Cloud storage for files: Uploaded files such as company logos, digital signatures, and generated PDF quotes are stored in Firebase Cloud Storage with strict access controls. Only authenticated users can access their own files.
  • Access controls: We implement strict role-based access controls internally. Only authorised personnel with a legitimate business need can access user data, and all access is logged and audited.
  • Regular security reviews: We conduct regular security assessments and monitor our systems for potential vulnerabilities.

While we strive to protect your personal data, no method of electronic storage or transmission over the internet is 100% secure. We cannot guarantee absolute security, but we are committed to maintaining the highest practical standards of data protection.

5. Third-Party Services

We use trusted third-party services to provide and improve our App. These services may have access to your personal information only to the extent necessary to perform their functions and are obligated to maintain its confidentiality. Our third-party service providers include:

  • Firebase Analytics (Google): We use Firebase Analytics to understand how users interact with the App. This service collects usage data, device information, and crash reports. Analytics data is aggregated and used to improve the App experience. For more details, see the Firebase Privacy Policy.
  • Firebase Cloud Firestore & Cloud Storage: We use Firebase Cloud Firestore as our primary database and Firebase Cloud Storage for file uploads. Both services are part of the Google Cloud Platform and benefit from Google’s comprehensive security infrastructure.
  • Firebase Authentication: We use Firebase Authentication to manage user registration and sign-in securely.
  • Firebase Cloud Messaging: We use Firebase Cloud Messaging (FCM) to deliver push notifications to your device, including notifications about quote decisions and job reminders.
  • SendGrid (Twilio): We use SendGrid to send transactional emails on your behalf, including quote delivery emails to your clients, accept/reject notification emails, and account-related communications.   • Apple App Store & Google Play Store: When you download the App or make purchases, the respective app store processes your transaction according to their own privacy policies.

6. Your Rights

Depending on your location, you may have certain rights regarding your personal data. If you are located in the United Kingdom or the European Economic Area (EEA), you benefit from rights under the UK GDPR and EU GDPR respectively. These rights include:

  • Right of access: You have the right to request a copy of the personal data we hold about you. We will provide this information in a commonly used electronic format within 30 days of your request.
  • Right to rectification: You have the right to request that we correct any inaccurate or incomplete personal data we hold about you. You can also update most of your information directly within the App settings.
  • Right to erasure (“right to be forgotten”): You have the right to request the deletion of your personal data when it is no longer necessary for the purposes for which it was collected, or when you withdraw your consent.
  • Right to restriction of processing: You have the right to request that we restrict the processing of your personal data in certain circumstances, such as when you contest the accuracy of the data.
  • Right to data portability: You have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to transmit that data to another controller.
  • Right to object: You have the right to object to the processing of your personal data for direct marketing purposes, or when processing is based on our legitimate interests.
  • Right to withdraw consent: Where we process your data based on your consent, you have the right to withdraw that consent at any time without affecting the lawfulness of processing carried out before the withdrawal.

7. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected and to comply with our legal obligations.

  • Active accounts: We retain your account data and associated information (quotes, clients, jobs) for as long as your account remains active.
  • Deleted accounts: When you delete your account, we will delete or anonymise your personal data within 30 days. Some data may be retained for a further period where required by law (e.g., financial records for tax purposes may be retained for up to 7 years).
  • Quote and client data: Quotes and client information you create in the App are stored for the duration of your account. You can delete individual quotes and clients at any time through the App.
  • Analytics data: Aggregated and anonymised analytics data may be retained indefinitely as it cannot be used to identify individual users.
  • Email communications: Transactional email logs are retained for up to 12 months for troubleshooting and delivery verification purposes.
  • Backup data: Backup copies of data may persist in our backup systems for up to 90 days after deletion from production systems.

8. Children’s Privacy

QuoteGuru is a business application designed for tradespeople and contractors. Our services are not directed at children under the age of 16, and we do not knowingly collect personal information from children under 16.

If we become aware that we have inadvertently collected personal data from a child under 16, we will take immediate steps to delete that information from our servers. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@quote-guru.co.uk so we can take appropriate action.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you through one or more of the following methods:
